Introducing the new Subject Enrolment Guide—your go-to resource for ICMS, Aspire, and ISCA students to learn everything you need to know about enrolling in subjects for the upcoming trimester.

Subject Enrolment via Avantis

Student enrolment into individual subjects is through ICMS Student Management System – AVANTIS. Please read the steps involved carefully in the enrolment process in Avantis when the enrolments open before the trimester starts.


What subjects do I choose?

Once the timetable is formally published (you will be notified via email, text and MyICMS app), you will see the delivery schedule of available subjects and the timetable for the upcoming trimester.

Alternatively, you can check out your program structure by going into My Academics tab of your Avantis account, and clicking on the “View my advisement report” link.


Timetable

Before enrolling in Avantis, you will receive an email that enrolments are open or a notification through the MyICMS APP. The most recent version of the timetable can be found here and this is where the latest updates can be found at all times. There are multiple classes held Monday to Friday, so you may choose the classes that match your scheduling needs.

Most core subjects will  be offered in multiple classes. Specialisations and electives might have one class only. In the timetable document you will find the class codes (such as 1101) – and you will need those to enrol yourself into classes.

Frequently Asked Subject Enrolment Questions

Can I change my normal full-time study load?

A normal full-time study load* for undergraduate students is 12 credit points or 4 academic subjects per term. For postgraduate students the standard study load is is between 6 and 8 subjects per year (an equivalent to 24 credit points). Avantis enrolment allows students to enrol in the standard study load only.

Students may request to enrol in an additional subject (credit overload) or reduce their study load (applicable for international students only, as their study load must be 4 academic subjects).

Requests to exceed or reduce credit points can be made using the Change of Study Load e-form. These requests will be assessed on a case-by-case basis, considering the reason and the student’s academic progression in previous trimesters.

Can I take a subject that is not on my study plan (course progression)?

Students can only enrol in subjects that are part of their course progression, study plan and program (see tables above). For courses that allow free elective choices, such as within our undergraduate degrees, students may use specialisation subjects from other degrees as electives. However, enrolment in these subjects is still limited by prerequisites and class availability.

What subjects can be taken as electives?

If your course allows you to pick electives, you may select undergraduate subjects from across all programs at the same level of studies. For example, if your course requires Year 2 electives, you need to choose a subject that starts with a 2 in the course code. You must meet any prerequisites required by the program to enrol in cross-program electives. To find electives offered within your course please refer to the Course Progression above.

What if the class I want to enrol in is full?

If you are looking to enrol in a core subject and the class is full, we cannot expand class size unless it is your last academic trimester. If this is your final term and you need to take a specific core subject, please contact the Student Services team to find a solution.

*What is a Study Load?

The term study load refers to the number of academic credits or subjects a student is enrolled in during a specific term or semester. It typically reflects the total amount of coursework a student is expected to complete, with full-time study loads generally defined by a set number of credits or subjects that equate to a standard workload.

Find a Form

In the Forms section of the Policy Library you will find links to various online forms you may need during your time as a student. If you can’t find the form you’re looking for, please contact Student Services by completing a Support Ticket.

Forms include:

  • Advanced Standing: Apply for credit recognition for previous studies or work experience.
  • Assessment Extension: Request an extension for assessment deadlines across different study levels.
  • Change of Course: Request to switch to a different course within the institution.
  • Change of Study Load: Apply to increase or decrease your current study load.
  • Complaints: Submit a formal complaint regarding any issues faced during your studies.
  • Leave of Absence: Request a temporary break from your studies.
  • Review of Assessment Results: Request a review of your assessment grades if you believe there has been an error.
  • Withdrawal from a Course: Apply to formally withdraw from your current course.
